Daily or weekly page?

Print as many pages as you need and keep them in a ring binder or clipboard. Because the book is undated, you can start any day of the year.

How to fill in a booking

Part of a daily page: a 2.5-hour balayage blocked from 10 am to 12:30 pm and marked paid, a lunch break, and a 1-hour cut and style at 1 pm
Block out the whole length of each service, not just the start time — so nobody gets booked on top of a balayage.
  1. Write the client and service at the start time. Add the phone number the first time, so you can text if you're running late.
  2. Block out the full length with a line or a highlighter — including processing time and clean-up.
  3. Block your breaks too. Lunch is easier to protect when it's already in the book.
  4. Mark the price and "paid" when the client leaves, then add up the day at the bottom.
  5. Note no-shows and cancellations in the same slot, so you can see who does it often.

Not sure what to charge for each service? Try the service price calculator.

Short codes that save time

Pick your own codes if you like — what matters is using the same ones every time.

Two chairs or a small team?

Salon appointment books often have 2, 4 or 6 columns — one per stylist. For two people, print a daily page for each and keep them side by side in the binder. For a bigger team, a shared app or booking system usually works better than paper.

Paper appointment book or app?

Paper book: free, quick to scribble in, no battery needed, but not with you when a client texts, can't search past visits and if you lose it you lose your clients. App: always in your pocket, client history in one tap, reminder texts ready to send, backup and CSV export, but needs your phone charged
Paper is great to start with. It gets harder once you have more than a few dozen regulars.

Paper is free, simple and never needs updating. The trouble starts as your client list grows: the book stays at the salon when a client texts at night, you can't search for "when did Emma last have her color done", and if the book gets lost or wet, so does your schedule. Client Book keeps your appointments and every client's notes, photos and visit history on your iPhone, has reminder texts ready to send, and lets you back up or export everything at any time — your data stays yours. Keep client details on paper too? Use the client record card template.

Questions

Is the appointment book template really free?
Yes. Download, print and copy it as often as you like — no email or sign-up needed.

Is it dated? Will it work for 2026 or 2027?
It's undated, so it works for any year. Write the date at the top of each daily page, or the first day of the week on the weekly page.

What hours does it cover?
8 am to 8 pm in 30-minute slots, with a dotted line for :15 and :45, so you can also book 15-minute appointments.

Letter or A4 — which one should I download?
Letter is the standard paper size in the US and Canada. A4 is used in the UK, Australia and most other countries. The content is the same.

Can I use it for two stylists?
Yes — print one daily page per person and keep them side by side in a binder. For larger teams, a shared app or booking system usually works better.

Can I fill it in on my iPad?
The PDF is made for printing, but you can also write on it in any PDF app that supports annotations, such as Markup on iPhone and iPad. For a schedule you'll change every day, an app is usually easier.
